Sensitive enquiries, answered with care and speed.

Private healthcare enquiries arrive late at night, often after a lot of thought. The patient needs a considered, kind reply — fast, but never rushed. Zatio holds that conversation for you, 24/7, and books consultations straight into the right consultant’s diary.

Why patient enquiries slip

Late-night enquiries, morning replies

The patient has already messaged two other clinics by the time you open WhatsApp. Whoever replied first — with warmth — got the consultation.

Price silence loses patients

‘Price on consultation’ feels evasive. A clear range with the right caveats feels honest. Patients choose clinics that are honest.

Consultant time wasted on unsuitable cases

Without triage, your consultants see patients with unrealistic expectations, contraindications, or budgets that were never going to work.

Built for regulated, patient-facing clinics

Considered, patient-first tone

Every reply tuned for warmth, not sales urgency. No pressure tactics. Never clinical advice. Always routes to a real consultation.

Honest price ranges

Typical bands with the right ‘subject to consultation’ caveats. Filters out budget-mismatched enquiries before consult time is spent.

Eligibility triage

BMI ranges, age ranges, contraindications, previous surgeries — captured and flagged, so consultants see appropriate patients.

Books consultations 24/7

Into Microsoft Bookings, Cal.com, or any booking link. Works with Heydoc, WriteUpp, PPM — any system that exposes a booking URL.

GDPR + CQC friendly

EU hosting, signed DPA, data minimisation. Patient info stays in your PMS as the source of truth — Zatio passes the booking and leaves.

Gentle reactivation

Cold enquiries get one warm follow-up 48 hours later. Half of all bookings land on that second touch — not the first.

Questions we hear a lot

Will it give medical advice?
Never. Zatio is explicitly trained to answer logistical, pricing, and booking questions only. Anything clinical — symptoms, suitability, outcomes — is routed to a qualified clinician.
What about ASA regulations on cosmetic and aesthetic advertising?
Every piece of outbound copy you approve is ASA-checked by your team first. Zatio won’t claim outcomes, won’t use before-and-after promises, won’t run price-led ‘offers’ unless you explicitly authorise them.
How does it handle sensitive enquiries — IVF, cosmetic, oncology?
With your guidance. During onboarding we write a warmer, slower, more considered script variant for sensitive treatments — with explicit instructions on when to hand over to a human the same minute.
Does it integrate with our PMS?
Via booking links and email handover today. Native integrations with Heydoc, WriteUpp, PPM are on the roadmap — tell us your stack and where you’d want us to invest first.
What does the patient see — do they know it’s AI?
You choose. Most clinics introduce Zatio with its real name (‘Aime from Acme Clinic’) and a short note that it’s an assistant. Transparency tends to beat disguise — and patients prefer a helpful AI to waiting 14 hours for a human.

Let’s talk about your first line of patient contact

15 minutes. Tell us your treatments, tone, and current response pattern. We’ll show you how an evening enquiry to your clinic would be handled — warmly, accurately, with a consultation in the diary before bedtime.
